Terms of Service

By creating an account, subscribing to a plan, or otherwise using Grassroots Coaching (the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you must not access or use the Service.

These Terms form a legally binding agreement between you ("you", "your", "Coach") and Grassroots Coaching ("we", "our", "us").

Grassroots Coaching is a team management platform built for grassroots football coaches. The Service includes squad and player management, match day operations, training planning, tactics tools, finances, communications, AI-assisted planning, and related features.

We continuously improve the Service. Features may be added, modified, or removed at our discretion. We will give reasonable notice of any material change that adversely affects paying subscribers.

You must be at least 18 years of age to create an account. By registering, you confirm that:

• • The information you provide is accurate, current, and complete
• • You will maintain and promptly update that information
• • You are responsible for keeping your password secure and confidential
• • You are responsible for all activity that occurs under your account

You must notify us immediately of any unauthorised use of your account.

4.1 Plans

The Service is offered on tiered subscription plans (weekly, monthly, annual, lifetime) and may include a free trial. Pricing and features for each plan are shown on our pricing page.

4.2 Payment

All payments are processed securely by Stripe. By subscribing you authorise us (via Stripe) to charge your chosen payment method on a recurring basis until you cancel.

4.3 Renewals & Cancellations

Subscriptions automatically renew at the end of each billing period unless cancelled. You may cancel at any time from your account settings; cancellation takes effect at the end of the current billing period and you will retain access to paid features until then.

4.4 Refunds

Except where required by law, subscription fees are non-refundable. We may, at our sole discretion, issue refunds for technical issues that materially prevent you from using the Service.

4.5 Price Changes

We may change subscription prices. Existing subscribers will receive at least 30 days' notice before any price change takes effect on their plan. You may cancel before the new price applies.

You agree not to:

• • Use the Service for any unlawful purpose or in breach of any applicable law
• • Upload content that is defamatory, harassing, abusive, obscene, or otherwise objectionable
• • Attempt to gain unauthorised access to the Service, other accounts, or our infrastructure
• • Reverse engineer, decompile, or attempt to extract source code from the Service
• • Use the Service to send spam, unsolicited messages, or malicious code
• • Resell, sublicense, or otherwise commercially exploit the Service without our written permission
• • Use the Service in any way that could damage, disable, or impair its availability for other users

We may suspend or terminate accounts that breach these rules.

You retain ownership of all data you submit to the Service (player records, match notes, training plans, messages, uploads — collectively "Your Content"). You grant us a worldwide, royalty-free licence to host, process, and display Your Content solely to operate and improve the Service for you.

You are responsible for ensuring you have the right to upload Your Content, including any personal data relating to players or other team members. Where players are under 18, you must ensure appropriate parental consent is in place in accordance with applicable data protection laws.

We do not claim ownership of Your Content and will not sell it to third parties.

The Service, including its software, design, branding, text, graphics, and all other content (excluding Your Content), is owned by Grassroots Coaching or its licensors and is protected by copyright, trade mark, and other intellectual property laws.

You are granted a limited, non-exclusive, non-transferable licence to access and use the Service for its intended purpose during the term of your subscription. No other rights are granted by implication or otherwise.

The Service integrates with third-party providers, including but not limited to:

• • Stripe — Payment processing
• • OpenAI — AI-assisted features (chat, training plan generation, transcription)
• • Resend — Transactional email delivery
• • Google — Sign-in (optional)

Third-party services operate under their own terms and privacy policies. We are not responsible for the availability, accuracy, or content of any third-party service.

Some features (e.g. AI training plan generator, live chat assistant, headline generation) produce content using third-party AI models. AI-generated output may be inaccurate, incomplete, or unsuitable. You are responsible for reviewing, validating, and using such output at your own discretion.

We make no guarantee that AI-generated content will be free from errors or appropriate for any specific purpose, including coaching decisions affecting player welfare.

You may terminate your account at any time by cancelling your subscription and deleting your account from settings.

We may suspend or terminate your access to the Service if:

• • You materially breach these Terms
• • Your subscription payment fails and is not remedied within 14 days
• • We are required to do so by law
• • We discontinue the Service (with reasonable prior notice)

On termination, your right to use the Service ends immediately. We will retain or delete Your Content in accordance with our Privacy Policy.

The Service is provided "as is" and "as available" without warranties of any kind, whether express, implied, or statutory, except those that cannot be excluded by law. We do not warrant that the Service will be uninterrupted, error-free, secure, or meet your specific requirements.

Grassroots Coaching is a software tool. It does not constitute professional coaching, medical, safeguarding, legal, or financial advice. You remain solely responsible for all coaching decisions and for the welfare of players in your care.

To the maximum extent permitted by law:

• • We will not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Service
• • Our total liability for any claim arising out of or related to the Service is limited to the amount you paid us in the 12 months preceding the event giving rise to the claim

Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot be lawfully excluded.

You agree to indemnify and hold harmless Grassroots Coaching, its officers, employees, and agents from any claim, loss, liability, or expense (including reasonable legal fees) arising out of:

• • Your use of the Service in breach of these Terms
• • Your Content or any data you upload
• • Your violation of any applicable law or the rights of any third party

Grassroots Coaching is operated from the Republic of Ireland. These Terms and any dispute or claim arising out of or in connection with them or the Service (including non-contractual disputes) are governed by the laws of the Republic of Ireland.

You and we both agree that the courts of the Republic of Ireland will have exclusive jurisdiction to settle any such dispute, except that we may seek injunctive or equitable relief in any jurisdiction where appropriate.

Where you access the Service from outside Ireland (including the United Kingdom, the United States, or elsewhere), you do so on your own initiative and are responsible for compliance with any local laws that apply to you. Nothing in this clause limits any mandatory consumer protection rights you may have under the law of the country in which you reside.

We may update these Terms from time to time. If we make material changes, we will notify you by email (using the address linked to your account) or via a prominent notice in the Service at least 14 days before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Terms. If you do not accept the changes, you may cancel your subscription.
